Accommodation for the Asia LEDs Forum 2012

Accommodation will be arranged at the Sofitel Sukhumvit Hotel for eligible participants (please refer to your official invitation letter to determine if you are eligible). The LEAD program will provide a single room per person for the duration of your official stay and payment will be made directly to the hotel. Please note that each participant will be responsible for any other expenses, such as telephone calls, minibar use, room upgrade, additional stay, additional guest and other room services, and these additional costs must be paid directly when you checkout.

Self-funded participants are encouraged to stay at the Sofitel Sukhumvit Hotel, but will be responsible for their own accommodation costs. Reservations can be made by contacting:

Kindly be advised that the check-in time at the Sofitel Sukhumvit Hotel is 14:00 and the check-out time is 12:00. If your departure time is before 19:00, we encourage you to check out from the hotel in the morning and leave any luggage with the bellman, or alternatively bring the luggage with you so you can leave directly to the airport from the hotel after the Forum.

Kindly ensure you leave the hotel at least 3-4 hours before your departure flight time.

Visas

Participants from some countries may require a visa in order to travel to Thailand. To find out whether you need a visa, please visit the website of the Kingdom of Thailand Ministry of Foreign Affairs (http://www.mfa.go.th/main/en/home).

If you will require a visa, it is important that you start the process to acquire a visa as soon as possible. Please get in touch with the embassy as soon as you receive the invitation letter for the Asia LEDS Forum, as it may be required to support your visa application. Bring the letter and other necessary documents to the embassy as instructed on the embassy website. Airport Transfer to the Sofitel Sukhumvit Hotel

You are requested to arrange your own transportation from the Suvarnabhumi International Airport to the hotel and vice-versa.  Public taxis are available at the Passenger Terminal on the 1st Floor, Gates (exits) 4 and 7. You may want to print out the attached hotel map and address in Thai and show it to the taxi driver.

From Suvarnabhumi International Airport to downtown Bangkok, the public taxi fare charged is according to the distance traveled plus a fee of 50 THB (approximately USD 2) for the driver. The one-way fare from the airport to the hotel should be approximately 400 THB (approximately 13 USD) and highway toll charges are additional, amounting to approximately 25 to 100 THB (approximately 1-3 USD) each way.

Airport Limousines are also available 24 hours a day with various kinds of cars operated by the Airports of Thailand Public Company Limited (AOT). The one-way fare from the airport to the hotel in an AOT vehicle is typically 1,200 THB (approximately 40 USD).

Daily Subsistence Allowance (DSA) – International Participants

Eligible participants (please refer to your official invitation letter to determine if you are eligible) who are required to travel to Bangkok from an international location will receive a fixed, lump sum amount based on their travel dates to cover meals beyond those listed in the meal section below; incidental expenses, such as telephone calls, internet usage, laundry, etc.; and local transportation and airport transfer costs. This lump sum amount, or DSA, will be available at the Registration Desk each morning. DSA will be provided in Thai Baht. You are kindly recommended to collect your DSA at your earliest convenience.

In order to claim your DSA, please bring the following documents to the Forum Registration Desk in the Sofitel Sukhumvit Hotel:

  • Copy of Passport
  • Boarding passes from flight

Meals

International breakfast buffet for one person is included in the room charge. Breakfast will be served in the Voila Restaurant from 06:00 to 10:30.

Lunch will be provided at the Forum on Tuesday, Wednesday and Thursday.  A dinner reception will be held on Tuesday night, Wednesday and Thursday.  Please consult the final agenda for locations of each served meal.

Dress Code

The Forum venue will provide a meeting room climate with an average temperature range of 25°C. Business casual attire is acceptable.

Climate

Daily average temperature of Bangkok in September is between 25°C and 35°C. Rain is common this time of year, particularly in the late afternoon.

Electricity

Please note that the electrical appliances in Thailand operate on 220 Volts. You are advised to carry an adapter.

Currency

Exchange facilities are available both at the Suvarnabhumi International Airport and at the reception desk of the Sofitel Sukhumvit Hotel. There are also many banks and department stores near the hotel where you can exchange money. The current rate of exchange is approximately 1.00 USD = 30.00 THB.

Internet Service

Wireless internet service is available for Forum participants at the venue.

Flight Reservation and Reconfirmation

The LEAD program will provide a travel desk on Friday, September 21 to support you to confirm your return flight.
